ABOUT RECT

Real-Time Experimental Cosplay Theater (RECT) is a live cosplay performance segment presented at Visual Arts Expo (VAX), staged in the Experimental Theatre. Participants (“Performers”) present original, real-time cosplay skits and performances before a live audience. By submitting a registration for RECT, the Performer agrees to be bound by these Terms & Conditions, in addition to the VAX General Terms & Conditions.

APPLICATION & SELECTION

• Submission of the RECT registration/audition form does not guarantee a performance slot.
• VAX reserves the right to accept or reject any application at its sole discretion, including on the basis of concept, safety, or programme fit.
• All selection decisions made by the Organiser are final and not subject to appeal.
• Selected Performers will be notified via the contact details provided at registration.

ELIGIBILITY

• Open to individual performers and groups/teams. [TBC: minimum/maximum group size]
• Performers under 18 years of age must have their registration co-signed by a parent or legal guardian.
• Each Performer/team may submit only [TBC: number] entries.

REGISTRATION & SUBMISSION REQUIREMENTS

• All Performers must register online within the stipulated registration period.
• A performance synopsis, character list, and accompanying music/audio track (if any) must be submitted by the deadline set by the Organiser. Late submissions may not be accommodated.
• Performers must attend the mandatory briefing and/or rehearsal/tech-check session prior to the event; failure to do so may result in disqualification.
• Performers must present their day wristband and proof of registration before being permitted backstage or into the performance area.

PERFORMANCE GUIDELINES

• All performances must be suitable for a general audience and appropriate for all ages.
• Performances must not exceed the allocated time slot (maximum 30 minutes, inclusive of setup and teardown). Performers who exceed the time limit may be cut off without compensation.
• Content must be original, or performed with appropriate rights/permission. VAX will not be responsible for any copyright infringement arising from music, video, or other material submitted by the Performer, and the Performer indemnifies VAX against any such claims.
• Dangerous, illegal, or prohibited acts under Malaysian law are strictly not allowed.
• Performances involving fire, pyrotechnics, naked flame, smoke machines, or similar special effects are prohibited unless prior written approval has been obtained from the Organiser at least [TBC] days before the event.

COSTUME, PROPS & SAFETY

• All costumes must comply with general decency standards and sufficiently cover the body at all times. VAX reserves the right to request costume adjustments or to bar entry for costumes deemed inappropriate.
• All props, including weapon replicas, must be inspected and approved by security/event staff prior to the performance. Props must be blunt, non-functional, and free of sharp or exposed edges.
• No live blades, functioning firearms, or genuinely hazardous items are permitted under any circumstances.
• Weapon props not in active use during a performance must be sheathed, bagged, or peace-bonded at all times.
• The Organiser reserves the right to confiscate any prop deemed unsafe, with no compensation to the Performer.
• Performers are responsible for their own costumes, props, and equipment. VAX will not be responsible for any loss, theft, or damage to personal items before, during, or after the event.

SCHEDULING & CHANGES

• VAX reserves the right to modify performance schedules, running order, and time slots as necessary.
• Performers must adhere to the agreed and confirmed time slot and be ready backstage at least 15 minutes before their scheduled performance.
• The Organiser reserves the right to cancel or adjust performance slots, if required, including due to safety, technical, or scheduling constraints.

COSTS & COMPENSATION

• No performance fee will be provided to Performers.
• Tokens of appreciation, prizes, or certificates (if any) after the event are at the sole discretion of the Organiser and are NOT guaranteed.
• All costs incurred by the Performer (including but not limited to travel, accommodation, costumes, props, and equipment) are the sole responsibility of the Performer.

JUDGING & AWARDS

• Where RECT includes a judged or competitive segment, the decision of the judges is final and not subject to appeal.
• Judging criteria (if any) will be communicated to Performers prior to the event.
• The Organiser is not obligated to disclose scoring or judging details.

LIABILITY

• Performers participate at their own risk. VAX shall not be held responsible for any loss, damage, injury, or expenses incurred before, during, or after the event.
• Performers are responsible for ensuring their performance, costume, and props do not pose a risk to themselves, fellow performers, crew, or the audience.

MEDIA & PUBLICITY

• VAX reserves the right to photograph, record, live-stream, and use any performance content for promotional and marketing purposes without prior notice or compensation.
• By registering, Performers consent to the use of their name, likeness, and performance footage by VAX and its partners/sponsors for promotional purposes.

LEGAL & REGULATORY COMPLIANCE

• Performers must comply with all applicable Malaysian laws and regulations, as well as all venue rules and regulations set by Taylor’s University, Lakeside Campus.

RIGHT OF ENFORCEMENT

• VAX reserves the right to take necessary action, including removal from the lineup, disqualification, or cancellation of participation, in the event of any rule violation, safety concern, or disruptive conduct.
• The Organiser is not obligated to disclose reasons for its decisions.
• No compensation or reimbursement will be provided for any losses resulting from such actions.
