Stage Open Mic

General Terms

The Stage Open Mic is a programme of Visual Arts Expo (“VAX”), organised by Walkure Events (“the Organiser”).

  • By submitting an application, you confirm that you have read, understood, and agreed to these Terms & Conditions.
  • If you apply as a group, you confirm that every member listed on your application has read and agreed to these Terms & Conditions, and you are responsible for their compliance.
  • The Organiser may amend, revise, or update these Terms & Conditions at any time without prior notice. The version published on this page is the version that applies.
  • These Terms & Conditions are written in English. If any translated version differs, the English version prevails.

Eligibility

  • The Stage Open Mic is open to performers of all nationalities.
  • Performers under 18 must have written consent from a parent or legal guardian, and a guardian who can be contacted on event day. The Organiser may ask to see that consent before confirming a slot.
  • International performers are responsible for their own travel documents, permits, and visas. The Organiser is not responsible for any issue arising from missing or incomplete documentation.
  • Applicants must be available to perform on the assigned event day and time.

Applying

  • Applying to and performing at the Stage Open Mic is free. There is no application fee, slot fee, or deposit.
  • You are responsible for filling in the registration form fully, accurately, and truthfully. Incomplete, inaccurate, or misleading information may result in disqualification.
  • Every video, showreel, and social media link you submit must be a working, publicly accessible URL. The Organiser is not obliged to chase broken or private links.
  • Each accepted application counts as one entry. Anyone found submitting multiple applications under different names or identities will have all of their applications rejected.
  • There is no published closing date. Registration stays open until the Organiser closes the form, which may happen at any time and without notice — apply early.
  • Applications received outside the registration form (for example by phone or email) are accepted at the Organiser's discretion and are subject to these same Terms & Conditions.

Selection & Scheduling

  • All applications go through a screening and curation process. Submitting an application does not guarantee a performance slot.
  • The Organiser's decision on selection, scheduling, and running order is final.
  • Applicants may be waitlisted. A waitlisted applicant may still be given a slot if one opens up.
  • Your performance slot, day, and time are assigned by the Organiser and confirmed to you by email at the address on your application. Keep an eye on that inbox — including your spam folder.
  • Each act is capped at 20 minutes on stage. Stage management may cut a performance that runs over.
  • Be at the designated area and ready at least 15 minutes before your slot. Latecomers forfeit their slot, and the Organiser is not obliged to reschedule you.
  • The Organiser may reschedule, shorten, or cancel any slot where this is needed to keep the programme running.

Event Day Access

  • Scheduled performers are issued access tags by the Organiser. You do not need to buy an admission ticket for the day you are scheduled to perform.
  • Access tags must be worn visibly at all times while you are on site, and must be produced on request. Tags are non-transferable. Sharing or misusing a tag may result in removal from the event premises.
  • Anyone accompanying you who is not a listed member of your act must hold a valid admission wristband.
  • Lost access tags will not be replaced.

Your Performance

  • If your act contains mature content, you must declare it on your application. The Organiser reviews declared content case by case and may accept it, ask for changes, or place it in a restricted slot.
  • Failing to declare mature content is a breach of these Terms & Conditions. The Organiser may stop your performance immediately and withdraw your slot.
  • You must own, or hold the necessary licence for, all material you perform, including music, backing tracks, scripts, and costumes. Pirated or unauthorised material may not be played or performed.
  • You may not use your slot to promote, advertise, or endorse commercial brands that are not Exhibitors, Partners, or Sponsors of Visual Arts Expo without the Organiser's prior written approval.
  • The content of your performance is your responsibility. The Organiser is not liable for any claim arising from it.

Equipment & Setup

  • Stage setup, sound, and the equipment available to you are confirmed with scheduled performers before the event. Check what is provided before you plan your act.
  • Unless the Organiser confirms otherwise, bring your own instruments, backing tracks, costumes, and props.
  • You are responsible for your own equipment and belongings at all times. The Organiser and the venue are not responsible for any loss, theft, or damage.
  • Any equipment you bring must be safe, must not damage the stage or venue, and must comply with any instruction from the Organiser or venue management.

Conduct

  • You must comply with all instructions issued by the Organiser, stage management, and venue personnel, along with all applicable Malaysian laws and venue requirements.
  • Do not do anything that could endanger yourself, other performers, attendees, staff, or venue personnel, or that could damage property.
  • The Organiser may stop any session at any time, and may remove anyone who disrupts the event or breaches these Terms & Conditions, without compensation.
  • You must comply with any health and safety measures the Organiser puts in place, in line with prevailing government and venue requirements. If you are unwell or showing symptoms of an infectious illness, tell the Organiser and stay away.

Liability & Responsibility

  • You take part at your own risk. The Organiser is not responsible for any injury, damage, lost item, or personal incident arising during or in connection with the event.
  • You agree to indemnify and hold harmless Visual Arts Expo, Walkure Events, the venue, and their respective representatives against any loss, cost, damage, liability, claim, or expense arising from your participation or from your breach of these Terms & Conditions.
  • The Organiser is not liable for circumstances beyond its control, including weather, transport disruption, venue restrictions, or government directives affecting the event.

Privacy & Data Protection

  • By applying, you consent to the collection and processing of your personal data for the purpose of running the Stage Open Mic, and for event and promotional purposes of the Organiser, its partners, and its sponsors.
  • By taking part, you agree that you may be photographed, filmed, or recorded during the event, and you grant Visual Arts Expo and Walkure Events permission to use those photographs, videos, and recordings for documentation, publicity, marketing, and related purposes. Advance individual notice will not be given.
  • If you applied as a group, you confirm you have your members' agreement to the above.

Changes & Cancellations

  • The Organiser may amend, vary, or cancel the Stage Open Mic programme, or any part of it, at any time.
  • The Organiser may reschedule, materially vary, or cancel the event itself. If that happens, arrangements for affected participants are determined by the Organiser.
  • Because participation is free, no refunds arise under these Terms & Conditions.
