Special Interest Panels (SIP) Terms & Conditions
WHAT IS S.I.P?
S.I.P. (Special Interest Panels) is a unique feature of Visual Arts Expo: a communal yapping space where enthusiasts can come together, share their interests, join discussions, and connect with like-minded people to talk about anything under the sun.
APPLICATION & SELECTION
- Submission of the SIP registration form does not guarantee a panel slot.
- VAX reserves the right to accept or reject any application at its sole discretion, including on the basis of concept, safety, or programme fit.
- All selection decisions made by the Organiser are final and not subject to appeal.
- Selected Panellists will be notified via the contact details provided at registration.
ELIGIBILITY
- Open to individual panellists and groups/communities.
- Panellists under 18 years of age must have their registration co-signed by a parent or legal guardian.
REGISTRATION & SUBMISSION REQUIREMENTS
- All Panellists must register online within the stipulated registration period.
- A panel synopsis and any accompanying presentation materials must be submitted by the deadline set by the Organiser. Late submissions may not be accommodated.
- Panellists must attend the mandatory briefing and/or tech-check session prior to the event; failure to do so may result in removal from the schedule.
- Panellists must present their day wristband and proof of registration before being permitted into the panel area.
PRESENTATION GUIDELINES
- All panels must be suitable for a general audience and appropriate for all ages.
- Do not present any seditious content, especially if it involves politics, race, religion or royalty.
- Harassment of the audience will not be tolerated. Remember: you're here to share your passions, not proselytise or give unwarranted criticism.
- Presentation involving props should be cleared with organisers before proceeding
- Panellists presenting mature content are advised to do so with discretion and respect, and conduct due diligence in accordance with public decency and state laws when presenting.
- VAX Staff reserves the right to end the panel on the spot should the content violate any of our rules and guidelines.
SCHEDULING & CHANGES
- VAX reserves the right to modify SIP schedules, running order, and time slots as necessary.
- Panellists must adhere to the agreed and confirmed time slot and be ready at least 15 minutes before their scheduled panel.
- The Organiser reserves the right to cancel or adjust presentation slots, if required, including due to safety, technical, or scheduling constraints.
LIABILITY
- Panellists participate at their own risk. VAX shall not be held responsible for any loss, damage, injury, or expenses incurred before, during, or after the event.
- Panellists are responsible for ensuring their presentation does not pose a risk to themselves, fellow panellists, crew, or the audience.
MEDIA & PUBLICITY
- VAX reserves the right to photograph, record, live-stream, and use any panel content for promotional and marketing purposes without prior notice or compensation.
- By registering, Panellists consent to the use of their name, likeness, and panel footage by VAX and its partners/sponsors for promotional purposes.
LEGAL & REGULATORY COMPLIANCE
- Panellists must comply with all applicable Malaysian laws and regulations, as well as all venue rules and regulations set by Taylor's University Lakeside Campus.
RIGHT OF ENFORCEMENT
- VAX reserves the right to take necessary action, including removal from the schedule or cancellation of participation, in the event of any rule violation, safety concern, or disruptive conduct.
- The Organiser is not obligated to disclose reasons for its decisions.
- No compensation or reimbursement will be provided for any losses resulting from such actions.
